PERSONAL DATA PROTECTION NOTICE
The Protection of Your Personal Data is Important to Us
We at Agensi Pekerjaan Permit Pro Consultancy Sdn. Bhd. and its related entities (“we”, “us” or “our”) are committed to protecting your personal data and respecting the privacy of individuals. This Personal Data Protection Notice (“Notice”) sets out how we collect, process, store, disclose and protect your personal data in accordance with the Personal Data Protection Act 2010 (“PDPA”) and ensure that any personal data we collect about you is treated with the appropriate degree of protection and confidentiality.
By continuing to access our website, using our products and services, engaging with us over the phone, via email, in person or by any other means, or when you voluntarily provide your personal data to us, you warrant that you are at least 18 years of age and consent to our collection, storage, use and disclosure of your personal data as described in this Notice.
What Personal Data Do We Collect?
The personal data that we may collect from you for the purposes listed below includes but is not limited to:
• personal identification information such as name, age, NRIC or passport number, gender, date of birth, marital status
• contact information such as residential address, email address, telephone number
• career history such as employer information, job title and duties, date of employment, remuneration and benefits, employment references
• educational background such as education level, academic records
• images (still/recording) / photo
• LinkedIn and all other public social media account links
• other information we collected from your interaction with us and use of our website
• sensitive personal data such as physical or mental health and medications taken by you, bankruptcy status, information relating to your spouse, child and/or other family members or commission or alleged commission by you of any offence subject to your explicit consent where required.

Where you provide personal data of any third party to us, consent is deemed to have been given to us to process and disclose the third-party individual’s personal data.
You acknowledge that you provide the personal data to us voluntarily. Where it is indicated that it is mandatory for you to provide your personal data to us, failure to provide such information will affect our ability to fulfil the purposes listed below.
Why Do We Collect Personal Data?
We will collect and process your personal data for the following purposes (where applicable):
• process, manage and facilitate your job applications, including shortlisting, interviewing and candidate evaluation
• assess your suitability for employment opportunities and to match your profile with job vacancies offered by our clients
• disclose and submit your personal data, including your curriculum vitae/resume and supporting documents, to prospective employers for the purpose of securing employment opportunities
• arrange, coordinate and manage interviews with prospective employers, including overseeing interview arrangements and participation, maintaining records of attendance and collecting and providing interview feedback
• verify your identity and qualifications and to conduct reference checks or background verification where applicable
• communicate with you regarding job opportunities, interview arrangements, application status and other recruitment-related matters. If you no longer wish to receive communications regarding potential job opportunities, you may opt out at any time by contacting us using the details provided below
• reasonably retain your personal data for future job opportunities that may be relevant to your profile
• comply with applicable legal, regulatory and contractual obligations
• maintain internal records for administrative, audit and reporting purposes
• ensure the security of our premises, systems and operations, including the use of access controls and monitoring system where applicable
(collectively referred to as the “purposes”).
How Do We Collect Personal Data?
We will only collect personal data by lawful and fair means. We collect personal data from time to time, when you fill up documents and/or forms physically and/or electronically, liase with us, or when you voluntarily give it to us in person, over the telephone, through websites, supporting documents or from third parties you have consented to.
By providing your personal data to us, you consent to us processing your personal data in accordance with this Notice, and you confirm that all personal data provided by you is accurate and complete, and that none of it is misleading or out of date. You will promptly update us in the event of any change to your personal data.
Consequences of Not Providing Us Your Personal Data?
Although you are not obliged to provide us with your personal data, we will not be able to fulfil the purposes set out in this Notice, including but not limited to, processing your application for companies looking to hire qualified candidates for job openings and individuals finding employment if you fail to provide all requested information.
How Do We Keep Your Information Secure?
The protection of your personal data is important to us. We take the security of your personal data seriously and implement appropriate technical and organization measures to protect it against loss, misuse, unauthorised access, disclosure, alteration or destruction in accordance with the PDPA.
How Long Will Your Personal Data Be Retained?
We will retain your personal data only for as long as is necessary to fulfil the purposes for which it was collected or for any other lawful purposes. The retention period will also consider applicable legal, regulatory, tax, accounting or operational requirements. Upon the expiry of the retention period or once your personal data is no longer required for these purposes, we will take reasonable steps to ensure that it is destroyed, deleted, anonymised or otherwise permanently removed from our systems.
Disclosure to Third Parties
Your personal data may be disclosed to potential employers and/or recruiting/hiring professionals for the purposes set out in this Notice.
We may also disclose your personal data where such disclosure is required under the law, court orders or pursuant to guidelines issued by regulatory or other relevant authorities, if we reasonably believe that we have a lawful right to disclose your personal data to any third party or that we would have had your consent for such disclosure if you had known of the same, and/or if the disclosure is in the public interest.

In accordance with Section 7(3) of the PDPA, this Notice is issued in both English and Bahasa Malaysia. In the event of any inconsistencies or discrepancies between the English version and the Bahasa Malaysia version, the English version shall prevail.
